The Payroll Associate supports the accurate, timely, and compliant execution of U.S. payroll operations and serves as a fully trained backup to the Payroll Specialist. This role requires strong attention to detail, confidentiality, analytical skills, and a solid understanding of payroll processes, employee deductions, and benefits-related payroll transactions. The Payroll Associate should be capable of stepping into the Payroll Specialist’s responsibilities when needed, ensuring payroll continuity with minimal disruption.

Key Responsibilities
- Support the end-to-end processing and validation of U.S. payroll, ensuring accuracy and adherence to established payroll calendars and controls.
- Serve as a cross-trained backup to the Payroll Specialist, with the ability to independently execute critical payroll activities during absences or periods of increased workload.
- Review payroll inputs, employee changes, earnings, deductions, adjustments, and other payroll transactions for completeness and accuracy.
- Process and validate 401(k) employee contributions and employer matching calculations, including changes to contribution elections, eligibility, and payroll deductions.
- Manage and validate medical, dental, vision, and other benefit deductions, identifying discrepancies between benefit elections and payroll deductions.
- Perform payroll reconciliations and variance reviews before and after payroll processing.
- Validate payroll reports, employee records, banking information, deductions, and other sensitive payroll data using established controls.
- Research and resolve payroll discrepancies, including incorrect deductions, missing payments, overpayments, underpayments, and benefit-related issues.
- Partner closely with the Payroll Specialist, People/HR, Benefits, Finance, and Accounting teams to resolve payroll issues.
- Respond to employee payroll inquiries professionally, accurately, and within established service expectations.
- Maintain organized payroll documentation and support internal and external audits.
- Follow strict confidentiality and data-security requirements when handling employee compensation, banking, tax, and benefits information.
- Assist with year-end payroll activities, reconciliations, and other payroll reporting requirements.
- Identify process gaps and recommend improvements that strengthen payroll accuracy, controls, and efficiency.
Qualifications
- 2+ years of experience supporting U.S. payroll operations, preferably in a multi-state environment.
- Working knowledge of 401(k), medical and other employee benefit deductions and their interaction with payroll.
- Understanding of payroll fundamentals, including gross-to-net calculations, deductions, taxes, garnishments, and payroll adjustments.
- Strong Excel skills, including experience with VLOOKUP/XLOOKUP, formulas, reconciliations, and data comparisons.
- Exceptional attention to detail and ability to identify inconsistencies in large volumes of payroll data.
- Strong analytical and problem-solving skills.
- Ability to work effectively under strict payroll deadlines while maintaining accuracy.
- High level of discretion when handling confidential employee and financial information.
- Strong communication and employee-service skills.
