Interplant Transfer Coordination
- Coordinate the movement of raw materials, finished goods, and other products between company plants, depots, and other designated storage areas.
- Liaise with the sending and receiving plants to confirm movement requirements, quantities, loading schedules, and delivery priorities.
- Coordinate vehicle allocation and dispatch in line with approved transport plans.
- Track vehicles from loading point to destination and provide regular status updates.
- Follow up on delivery documentation, including delivery notes, transfer documents, weighbridge tickets, and proof of delivery.
- Identify and escalate delays, vehicle breakdowns, loading challenges, or other operational issues affecting transfers.
- Maintain accurate records of all interplant movements.
Warehouse/ storage areas to Plant Logistics
- Coordinate the movement of bulk cargo from the designated loading areas to the respective plant or designated warehouse.
- Liaise with the logistics officer- Imports and transporters to ensure cargo is moved within the required timelines.
- Monitor cargo availability, customs clearance status, transport allocation, and delivery schedules.
- Ensure relevant delivery and transport documentation is properly captured and filed.
- Escalate potential delays that may affect production, customer supply, or logistics costs.
Rail Coordination
- Support the planning and coordination of rail movements from the rail terminal to the plants
- Liaise with railway operators and internal stakeholders on rail movement schedules.
- Monitor wagon loading, dispatch, arrival, and offloading activities.
- Track rail consignments and provide regular movement status updates.
- Coordinate with the receiving plant to ensure readiness for arrival and offloading.
- Follow up on rail delays, wagon availability, documentation issues, and operational constraints.
- Maintain accurate records of rail movements and associated documentation.
Transporter Coordination
- Communicate daily transport requirements to appointed transporters.
- Follow up on vehicle availability, driver details, vehicle positioning, loading, and delivery.
- Monitor transporter performance against agreed service requirements.
- Report recurring service failures, delays, or non-compliance to the Logistics Manager
- Support the verification of transport documentation and delivery records.
Logistics Tracking & Reporting
- Maintain daily logistics movement trackers covering road, rail, interplant, and plant deliveries.
- Prepare daily/weekly logistics status reports as required.
- Monitor key logistics performance indicators, including:
- On-time delivery
- Vehicle turnaround time
- Port-to-plant transit time
- Rail transit time
- Loading/offloading delays
- Storage exposure
- Pending deliveries
- Proof of delivery compliance
- On-time delivery
- Maintain an updated record of outstanding and delayed movements.
- Support reconciliation of transport and delivery records.
Documentation & Compliance
- Ensure logistics documentation is complete, accurate, and properly filed.
- Verify delivery notes, transfer documents, weighbridge tickets, container details, and proof of delivery.
- Follow company logistics procedures, transport policies, and safety requirements.
- Ensure movements comply with applicable statutory and company requirements.
- Escalate documentation gaps or compliance issues promptly.
Requirements
- Bachelor’s degree in Logistics, Supply Chain Management, Transport Management, Business Management, or a related field.
Professional Qualifications
- Certification in Fleet/ Logistics or Transport Management is an added advantage.
Experience
- Minimum 3–5 years’ experience in logistics, warehouse, and transport operations management.
- Experience in transport coordination, fleet tracking, warehouse operations, or distribution will be an added advantage.
- Exposure to road, rail, containerized cargo, or interplant logistics is desirable.
- Proficiency in Microsoft Excel and other standard office applications.
- Knowledge of ERP/logistics management systems is an added advantage.
