About the Role
The Catalyst Group is hiring an Events Coordinator for one of Pakistan’s largest and most premium event management companies, known for delivering high-end events and exceptional client experiences.

The Event Coordinator will oversee on-ground operations on event days, ensuring that every aspect of the event is executed smoothly and according to plan. From arriving at the venue ahead of schedule and supervising setup to coordinating deliveries, managing supplies, and aligning internal teams, the individual will be responsible for ensuring everything is in place before the event begins and that operations run seamlessly throughout.

Key Responsibilities

  • Arrive at event venues ahead of schedule to oversee preparations and ensure readiness before the event begins.
  • Coordinate on-ground setup, ensuring décor, staging, furniture, lighting, signage, and other event elements are installed according to approved plans.
  • Track the timely delivery of supplies, equipment, décor, and other materials, ensuring all items reach the venue as required.
  • Coordinate with internal teams, including production, design, logistics, client servicing, and procurement, to ensure smooth execution.
  • Conduct venue checks before the event to identify missing supplies, incomplete setups, or other issues, ensuring they are resolved promptly.
  • Troubleshoot unexpected on-ground challenges and coordinate with the relevant teams to minimise disruptions.
  • Maintain event checklists and document any operational issues or learnings for future events.

Key Requirements

  • Relevant experience in event coordination, event operations, hospitality, logistics, or a similar role. Candidates with hands-on event execution experience will be preferred.
  • Strong organisational and coordination skills, with the ability to manage multiple tasks and deadlines simultaneously.
  • Ability to work effectively under pressure and resolve unexpected challenges in a fast-paced, on-ground environment.
  • Strong communication and interpersonal skills to coordinate with internal teams, vendors, suppliers, and venue staff.
  • A proactive, hands-on approach, with the ability to identify potential issues and address them before they affect event execution.
  • Willingness to work on-site, travel to event venues, and work flexible hours, including evenings and weekends, depending on event schedules.
