The Opportunity
Our client is seeking a highly organized and service-oriented Office Administrator to support the day-to-day administrative operations of its Las Vegas, NV treatment program. This full-time, on-site position serves as an important operational resource for clients, clinical staff, leadership, and external partners.
The ideal candidate brings strong organizational skills, professionalism, discretion, and the ability to manage competing priorities in a fast-paced behavioral health environment. This position is well-suited for someone who understands that effective administrative operations directly support quality client care and a positive employee experience.
What You Will Do
- Coordinate daily administrative and front-office operations to support efficient program functioning and a professional client experience.
- Serve as a welcoming and professional point of contact for clients, families, visitors, vendors, and staff.
- Manage incoming telephone calls, correspondence, scheduling, records, and general office communications.
- Maintain organized administrative files and records in accordance with organizational policies and applicable confidentiality requirements.
- Support employee onboarding, personnel documentation, credential tracking, and other administrative processes in coordination with leadership and Human Resources.
- Assist with ordering office supplies, inventory management, vendor coordination, and general facility needs.
- Coordinate meetings, calendars, appointments, and administrative projects for program leadership.
- Support the appropriate handling of confidential information in accordance with HIPAA, 42 CFR Part 2, and organizational privacy practices.
- Collaborate with clinical, admissions, operations, and leadership teams to address administrative needs and promote continuity of operations.
- Identify administrative workflow opportunities and support process improvements that strengthen efficiency, communication, and the client experience.
- Maintain professional boundaries and demonstrate sensitivity when interacting with individuals receiving behavioral health and substance use disorder services.
Requirements
Required:
- High school diploma or equivalent.
- Minimum of 2 years of administrative, office coordination, healthcare support, or comparable professional experience.
- Strong organizational skills with demonstrated attention to detail and follow-through.
- Proficiency with Microsoft Office, Google Workspace, or comparable business applications.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities while maintaining professionalism and confidentiality.
- Strong customer service orientation and ability to interact compassionately with clients, families, and staff.
- Ability to work independently while contributing effectively within a multidisciplinary team environment.
Preferred:
- Associate or bachelor’s degree in business administration, healthcare administration, human services, or a related field.
- Prior experience in behavioral health, substance use disorder treatment, healthcare, or another regulated environment.
- Familiarity with electronic health record systems and healthcare documentation practices.
- Experience supporting employee onboarding, credentialing, compliance tracking, or healthcare office operations.
Benefits
Compensation and Benefits
- Salary Range: $45,000 to $55,000 annually, commensurate with experience and qualifications.
- Schedule: Full-time, on-site, Las Vegas, NV.
- Health Insurance with a premium share.
