Sourcing and Stock Controlling Officer

This client is looking for a highly organized, detail-oriented, and proactive Sourcing and Stock Controller Officer to join our team. The successful candidate will drive farm-produce sourcing, inventory management, stock control, warehousing, compliance, and asset management, ensuring efficient, accurate, and accountable business operations across the supply chain.
Job Purpose
To secure a reliable, cost-effective, and quality supply of fresh produce and FMCG goods, and to maintain accurate, real time stock control across sourcing, dispatch, warehousing, and reconciliation processes in line with Taimba's SOPs and ERP (Odoo) requirements.
Key Responsibilities:
1. Farm Produce Sourcing and Planning
- Identify, vet, and manage relationships with farmers and suppliers to ensure a steady supply of high-quality fresh produce and FMCG goods.
- Negotiate terms, pricing, and contracts with suppliers to ensure cost-effective procurement.
- Ensure all sourced products meet required quality standards and specifications.
- Coordinate logistics to ensure timely delivery of produce from farms to the Processing Hub (PH).
- Use data-driven insights to optimize the supply chain and reduce operational costs.
2. Stock Dispatch and Returns — ERP (Odoo) Usage
- Verify that all dispatched products match orders placed and are sent to the correct depots/routes.
- Ensure stock dispatch — physically and in Odoo — is completed by 5:00 AM daily.
- Ensure physical stock, the manual dispatch book, and Odoo ERP records match 100%, resolving any variances before shift handover.
- Ensure all product returns undergo Quality Control (QC), with defects disposed of per company SOPs.
- Conduct QC on stock returned from routes so only quality products are re-processed through Odoo.
3. Stock Controllership: Inventory Count, Accuracy, and Process Audit
- Verify purchased stock tallies with quantities delivered to trucks by running daily intake and inventory-variance reports.
- Prepare inventory reconciliation reports, confirming all intakes are closed, matched to invoices, and variances accounted for before shift closure.
- Observe inventory intake and dispatch processes and recommend improvements through documented approval processes.
- Reconcile customs agents' declared inventory dispatches against actual intake and dispatch records.
- Enforce all safety rules and guidelines, including daily safety toolkit routines and PPE usage.
- Ensure completeness of inventory entries in required databases and formats.
- Maintain 100% stock accountability before closing each shift.
4. Optimal Warehousing
- Measure process adherence and report on shift performance metrics.
- Reconcile stock positions, ensuring stock availability while minimizing losses and shrinkage.
- Drive automation of applicable processes by presenting business cases for consideration.
5. Compliance
- Execute processing plans and optimize resource allocation within agreed standards.
- Enforce compliance with relevant regulations and Taimba quality standards.
- Comply with all organizational policies, procedures, and statutory guidelines.
- Close gaps identified through audits, risk reviews, investigations, and compliance assessments via corrective and
preventive actions within agreed timelines.
6. Product and Asset Management
- Receive, reconcile, and report on products and assets received within agreed SLAs.
- Verify and confirm all products and assets are accounted for, recorded, and reported before release at the end of each shift.
- Hand over, reconcile, and report on all products and assets returned to the facility within agreed SLAs.
Requirements
- Bachelor's Degree or Diploma in Supply Chain Management, Procurement, Logistics, Business Administration, Agriculture, Warehouse Management, or a related field.
- 2–4 years' experience in sourcing, inventory control, warehouse operations, or stock management, preferably in FMCG, fresh produce, retail, or agribusiness.
- Proven experience in supplier sourcing, negotiation, and relationship management.
- Hands-on experience using ERP systems, preferably Odoo, for inventory and stock management.
- Strong knowledge of inventory control principles, stock reconciliation, and warehouse operations.
- Proficiency in Microsoft Excel and other data analysis and reporting tools.
- Sound knowledge of quality control processes and inventory audit procedures.
