A bit about the role
LTT USA is looking for a Sr. Operations Manager to own logistics delivery for LegalTechTalk USA 2027. You will run vendor procurement, venue orders, staffing, security and budgets for a first-edition event, and build the processes the show will run on for years after. In the launch phase, you will also support sponsor operations until the dedicated Sponsor Operations team is in place. Travel to Miami for site visits and onsite delivery is required.
Key Responsibilities
As a Sr. Operations Manager, you will:
● Manage the planning and delivery of the event, from pre-event planning through onsite execution.
● Manage the onsite execution of our Meetups program
● Manage event budgets and forecasts; develop and maintain relationships with local and national vendors; conduct site visits and manage RFPs.
● Manage event logistics such as floor plans, room sets, AV, F&B, décor, signage, collateral materials, staffing, security, etc. Manage venue BEOs and MEOs.
● Secure permits and approvals (fire marshal, engineering sign-off, power) and own health and safety, crowd management and accessibility planning
● Build and own the event run-of-show with the content, production and AV teams
● Direct the day-to-day work of assigned event coordinators, including onboarding, processes and objective setting
● Manage contract negotiations, invoice payments, and insurance requirements
● Plan and manage staffing for each event - this includes temp and contract staffing for on-site
● Work on post-event reconciliation, including gathering feedback during debriefing meetings with vendors
● Work closely with the commercial team, marketing team, and where applicable content team to manage the delivery of commercial partnerships at the show.
In the launch phase, this role also supports sponsor operations until the dedicated Sponsor Operations team is in place. This includes:
● Maintain the commercial inventory with the Event Director & Sr. Sponsorship Manager, ensuring every sold item is feasible, costed and tracked, and kept up to date with the wider commercial team
● Work closely with the VP of Operations to update and manage the show floor throughout the show cycle
● Manage the delivery of sponsored features and activations from the RFP tender process through to the onsite build
Skills & Qualifications
To be successful in this role, you must have/be:
● Strong background with proven experience in planning and implementing large-scale events, conferences and/or trade shows
● Minimum 5 years of event management experience, working in a large conference or tradeshow environment
● Experience delivering sponsor activations or partner fulfillment is a strong plus
● Exceptional interpersonal, written and verbal communication skills
● Organized under pressure, with sound judgment across competing priorities
● Must be extremely comfortable with technology platforms and technology management
● Advanced Excel or Google Sheets skills (budgets, trackers, reconciliations)
● Be extremely detail-oriented, be a take-charge problem-solver
● Ownership of outcomes, from plan through post-event reconciliation
● Ability to negotiate large-scale contracts with vendors and venues
● Must be willing to commute 2-3 days per week to Miami offices as needed
The bit about us
We’re Hyve, a global events company that does things differently.
Our events deliver game-changing impact for people, businesses and beyond. That might mean winning a major contract, securing transformational investment, getting on the shelves of a giant retailer or hearing from thought leaders who are changing the future. The purpose of every one of our events is to bring the people who power major industries together – and open a world of potential.
At the same time, we’re using our events as platforms for progress, to drive the conversation across the world’s biggest industries on crucial topics like sustainability, diversity and ethical business.
These moments can change lives. And making those connections motivates us every single day.
But creating those human connections doesn’t just happen at our events. It’s part of everyday life when you work at Hyve. There are all sorts of socials, inclusion workshops and professional development opportunities to get your teeth into. And then there are the benefits. From gym memberships to private medical care, season ticket loans to healthy pensions, we’ve got you covered in all kinds of ways. (We’ll even give you an extra day off on your birthday!)
The bit about you
First of all, whatever your background and whatever your beliefs, there’s a culture of belonging here at Hyve and everyone is welcome. The question isn’t where you are from – it’s where you want to go.
We’re a positive bunch and if you’re a “glass half full” kind of person you’ll fit right in. Our values are brilliant work, fresh thinking, rich connections, and collective buzz. And just to be clear, these aren’t just words we put on the walls and forget about. They pull everyone together and help us all produce work that we’re proud to put our names to. If that resonates with you, great: we’re on the same page.
The bit about the division
Global Ventures is Hyve’s dedicated accelerator unit which launches new events and supercharges new ventures. This is where event launches are born and new products are accelerated, powered by obsessive customer focus, rapid experimentation, simple decision-making and entrepreneurial energy. We're small, fast and allergic to unnecessary process. We’re a small, fast-moving team, so a substantial part of your role will evolve beyond this job
