Position Overview

The Government of Alberta is seeking an experienced IT Technical Business Analyst – Intermediate / Project Coordinator to coordinate a portfolio of short-duration, technology-focused projects supporting Request for Service (RFS) and Government Reorganization (GR) initiatives.

The successful candidate will coordinate the implementation and execution of IT projects involving multiple technical teams and stakeholders across the Government of Alberta. The role requires strong project coordination, stakeholder management, technical understanding, documentation, and communication skills.

Key Responsibilities

  • Coordinate the planning, implementation, and completion of multiple IT projects concurrently.
  • Coordinate IT infrastructure implementations for new facilities, office relocations, staff moves, restacks, revamps, and decommissioning projects.
  • Coordinate IT changes associated with government reorganizations, including department name changes and movement of programs, services, and personnel.
  • Coordinate with technical teams including End User Computing, Cloud, Servers, Storage, Network, SuperNet, Active Directory, Security, Cybersecurity, Telecom, Printing, and Video Conferencing.
  • Define and/or confirm business, functional, and technical requirements.
  • Collaborate with business stakeholders to define project scope, objectives, deliverables, and goals.
  • Lead stakeholder consultations and facilitate project meetings at various organizational levels.
  • Develop and maintain project documentation, including project charters, business cases, briefing notes, status reports, risk logs, dashboards, and project closure documentation.
  • Monitor project scope, schedules, deliverables, risks, issues, dependencies, and overall project status.
  • Prepare and maintain project status reports for management and stakeholders.
  • Maintain project documentation and status information within SharePoint and applicable GoA systems.
  • Ensure projects follow established project management methodologies, governance practices, cybersecurity standards, and operational processes.
  • Identify project risks, issues, and impacts and provide recommendations for resolution.
  • Coordinate change management activities and communication planning.
  • Provide technical recommendations and guidance to management, operations, project teams, and shared IT services.
  • Review technology and service requests and assess their potential impact on the operational environment.
  • Support proof-of-concept and limited production rollouts involving multidisciplinary technical teams.
  • Provide quality control and coordination for production implementations.
  • Communicate operational guidelines, policies, and procedures to clients and stakeholders.
  • Track project time, progress, and deliverables and provide reporting as required.
  • Identify opportunities to improve existing processes and recommend improvements to the project team.

Request for Service (RFS)

  • New office, meeting room, floor, or building implementations
  • Office restacks, revitalization, and revamp projects
  • Building/floor decommissioning and decant projects
  • Staff moves involving 10+ employees
  • Technology hosting and refresh initiatives
  • IT infrastructure implementation projects

Government Reorganization (GR)

  • Cabinet and ministry changes
  • Department or ministry name changes
  • Movement of programs, services, and personnel
  • Changes to user accounts, distribution lists, security groups, and shared mailboxes
  • Changes to Active Directory and shared network drives
  • Business application and telecommunications changes


Requirements

Mandatory Qualifications

Candidates must demonstrate:

  • 5+ years of experience as a Project Coordinator leading technical teams in the implementation and execution of IT projects within an environment of similar size and complexity to the Government of Alberta.
  • 5+ years of experience defining project scope and goals in collaboration with business stakeholders.
  • 5+ years of experience developing project deliverables, including:
    • Project charters
    • Business cases
    • Briefing notes
    • Status reports
    • Risk logs
    • Project closure documentation
    • Dashboards
  • 5+ years of experience managing multiple projects concurrently.

Education Requirement

The candidate must meet one of the following:

  1. University graduation in Business, Management, or a related discipline plus 4 years of Project Coordinator experience, OR
  2. Two-year diploma in Business, Management, or a related discipline plus 6 years of Project Coordinator experience, OR
  3. One-year certificate in Business, Management, or a related discipline plus 7 years of Project Coordinator experience, OR
  4. 8 years of Project Coordinator experience.

Preferred Qualifications

  • 2+ years coordinating IT infrastructure projects for the Government of Alberta, either directly with GoA or through a vendor supporting GoA.
  • 2+ years coordinating government reorganization projects involving department name changes and the movement of people, programs, or services.
  • 5+ years developing and maintaining stakeholder relationships across an organization, including executive-level stakeholders.
  • 4+ years leading and facilitating meetings with stakeholders at all levels.
  • 5+ years leading change management and communication planning.
  • Experience working with Active Directory, Microsoft file systems/security, network infrastructure, cloud, servers, storage, cybersecurity, and telecommunications is an asset.
  • Experience working within a government or large enterprise IT environment is highly desirable.

Work Arrangement & Hours

  • Primarily remote within Canada.
  • Standard working hours: 8:15 AM – 4:30 PM Alberta time, Monday to Friday, excluding Alberta government holidays.
  • Occasional onsite meetings may be required in Edmonton.
  • Travel, relocation, commuting, accommodation, and related expenses for onsite meetings will not be reimbursed.
  • The contractor is responsible for providing their own computer and related equipment compatible with Azure Virtual Desktop (AVD). Windows is preferred.
