We are expanding our Santa Rosa warehouse into a national distribution hub to better support day-to-day operations across our markets.

Position Summary

The Warehouse Operations Coordinator oversees the daily flow of equipment through our Santa Rosa national distribution warehouse, including receiving, inventory control, new game preparation, and outbound shipping.

This is a hands-on position responsible for ensuring games, parts, and supplies are accurately received, properly prepared, safely stored, and shipped on schedule. The position works closely with operations, service teams, manufacturers, and freight carriers to deliver equipment that is complete, protected, and ready for installation.

Essential Responsibilities

Receiving and Inventory Control

• Coordinate incoming deliveries of games, equipment, parts, and supplies.
• Unload shipments safely and verify quantities, model numbers, serial numbers, and condition against purchase orders and shipping documents.
• Inspect deliveries for freight damage, shortages, or incorrect items; document discrepancies with photographs and promptly communicate issues.
• Maintain accurate inventory records, including equipment locations, condition, preparation status, and transfers.
• Organize designated areas for receiving, storage, preparation, outbound shipments, and returned equipment.
• Perform routine inventory counts and investigate discrepancies.

New Game Preparation and Quality Checks

• Uncrate, unpack, assemble, and prepare new games according to manufacturer instructions and company standards.
• Complete assigned setup tasks, including installing accessories, applying identification labels, and confirming required components are included.
• Perform basic operational checks using established procedures; identify damage, missing parts, or equipment issues before shipment.
• Coordinate with technical service teams and manufacturers to resolve issues requiring additional troubleshooting or repair.
• Maintain preparation checklists and communicate when equipment is ready for shipment.

Shipping and Distribution

• Coordinate outbound shipments and equipment transfers to support installations, replacements, and ongoing operational needs nationwide.
• Confirm shipment contents, destination, delivery requirements, and scheduling with the requesting team.
• Secure games and equipment using appropriate pallets, crating, packaging, and protective materials.
• Prepare shipping documents, bills of lading, equipment records, and tracking information.
• Schedule pickups, coordinate with freight carriers, and safely load equipment.
• Track shipments and help resolve delivery delays, freight damage, or missing items.

Warehouse Operations and Safety

• Prioritize daily receiving, preparation, and shipping work based on operational needs and deadlines.
• Maintain a clean, organized warehouse with clear aisles and secure equipment storage.
• Operate forklifts, pallet jacks, and other material-handling equipment after required training and authorization.
• Inspect equipment before use and promptly report hazards, damage, or maintenance needs.
• Help establish practical warehouse procedures and recommend improvements to accuracy, turnaround time, and equipment protection.
• Communicate inventory availability, shipment status, preparation progress, and operational concerns to leadership.

Required Qualifications

• Experience in warehouse operations, receiving, shipping, inventory control, or equipment distribution.
• Mechanical aptitude and confidence using basic hand and power tools.
• Strong organizational skills and attention to detail.
• Ability to prioritize work, follow through independently, and communicate changes or issues promptly.
• Basic computer skills and the ability to maintain accurate inventory and shipping records.
• Ability to safely operate material-handling equipment following training and authorization.

Preferred Qualifications

• Experience handling amusement games, vending machines, appliances, electronics, or other large, sensitive equipment.
• Experience with freight carriers, bills of lading, freight claims, and equipment packaging.
• Experience assembling equipment or performing basic electrical and mechanical troubleshooting.
• Experience helping establish or improve warehouse processes.

Physical Requirements and Work Environment

Work is performed primarily in a warehouse and loading area and involves standing, walking, bending, reaching, and handling tools, packaging, parts, and equipment. The position requires moving large games and equipment using appropriate material-handling equipment and team assistance. Essential functions may be performed with or without reasonable accommodation.
