Assistant Director; Facilities Management

This position plans, organizes, leads, and controls all the building operations services provided by the Facilities Management Department to ensure that the department's core function of providing safe and healthy buildings is met at all times. This position also assists the Director in planning, design, and construction of new buildings and building renovations as assigned.
 

Essential Duties and Responsibilities

  1. Directly supervises the Maintenance Department and assists in the completion of work orders. 
  2. Responsive to after-hour emergencies, inclement weather; dispatches on-call technicians as needed.
  3. Assists the Custodial Supervisor with day-to-day operations and personnel management.  
  4. Hires, trains, coaches, supervises, and evaluates assigned personnel. Leads or assists in disciplinary action meetings.
  5. Helps develop and implement new methods and procedures to improve operations and conducts bi-monthly inspections of all facilities. 
  6. Assigns and completes work orders, works hands on and resolves problems, prepares work schedules, and sets deadlines to ensure completion of operational functions.
  7. Ensures that all fire, security, and life safety systems are fully operational and are maintained at the highest operating level.
  8. Ensures that the buildings and grounds are kept clean and safe.
  9. Ensures that all required and necessary tasks, inspections, tests, and maintenance of equipment and building systems are performed by vendors and employees in the required time frame as required by Facilities Management guidelines.
  10. Participates in the budget planning process, including staffing, budget requirements, identifying potential cost increases, and identifying opportunities for cost savings.
  11. Oversees and assumes duties of the Facilities Management Director in his/her absence.
  12. Performs all other related duties as assigned or required.

Minimum Requirements

Five (5) years in commercial building operations with at least three (3) of those years in a management role. Experience working in historic buildings preferred. Must demonstrate knowledge and understanding of building systems and commercial building operations. Must be able to manage multiple sites. Must demonstrate strong customer service orientation. Must have experience in developing and managing budgets. 

$1,200/year stipend available for qualifying Professional Certification (CFM, PMP, etc.)

This position includes a take home vehicle and $960/year cell phone allowance

Physical Demands and Work Environment

While performing the duties of this position, the incumbent is regularly required to bend, carry, climb, climb ladders, climb stairs, use hazardous machinery, hear, tolerate hot and cold inside temperatures, keyboard, kneel, lift below the waist, lift between waist and shoulder, lift overhead, lift to the side/twist, tolerate noise, tolerate hot and cold outside temperatures, pull, push, perform repetitive tasks, negotiate rough or uneven surfaces, see color, see far and near, sit, squat, stand, stoop, talk, use his/her hands, drive a vehicle, walk, work alone and with others, and exposure to chemicals, and worksite construction. 

This position may require overtime, rotating shifts, nights, evenings, weekends and holiday work. Employees must have a cell phone and be able to respond to texts/calls in a timely manner. Cell phone allowance is provided in compensation package.

Other Requirements

Regular attendance is essential. Employees must arrive at work on time, prepared to perform assigned duties and work assigned schedule. Employees must have the ability to work well with others. Employees must be able to perform the essential functions of the position without posing a direct threat to the health or safety of themselves or others. Requested accommodations to work hours and schedules are considered on an individual basis.
