Account Management Coordinator

Position Summary

The Account Management Coordinator provides administrative and operational support to the Account Management team and serves as an important point of contact for clients, brokers, and internal departments. This position helps ensure client requests are handled timely and accurately, account information is maintained, and implementations, renewals, and ongoing client activities stay on track.

The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple priorities in a fast-paced healthcare benefits environment.

Essential Duties & Responsibilities

Client & Broker Support

  • Respond to routine client and broker requests and coordinate resolutions with appropriate internal teams.
  • Serve as a reliable point of contact for account-related questions and follow up on outstanding issues.
  • Assist Account Managers with client communications, meetings, presentations, and follow-up activities.
  • Maintain professional and timely communication with clients, brokers, vendors, and internal departments.
  • Track open client issues and ensure appropriate follow-up through resolution.

Account Administration

  • Maintain accurate client, group, plan, and contact information within company systems.
  • Prepare and distribute routine account documentation, reports, notices, and correspondence.
  • Assist with group implementations, renewals, plan changes, and terminations.
  • Coordinate required information and documentation between clients, brokers, vendors, and internal departments.
  • Maintain account files and ensure documentation is complete and organized.

Implementation & Renewal Support

  • Assist Account Managers with implementation and renewal checklists and timelines.
  • Track outstanding implementation requirements and communicate status to stakeholders.
  • Coordinate collection of enrollment, plan, billing, network, and other required information.
  • Help prepare renewal materials and ensure required deliverables are completed on schedule.
  • Identify potential delays or missing information and escalate issues appropriately.

Internal Coordination

  • Coordinate with Claims, Customer Service, Billing, Network, Care Management, Compliance, and other departments to resolve account needs.
  • Assist with research and resolution of client-specific issues.
  • Monitor service requests and ensure they are routed to the appropriate department.
  • Maintain visibility into outstanding items and deadlines across assigned accounts.

Reporting & Quality

  • Prepare routine account reports and spreadsheets.
  • Assist with client-specific data and reporting requests.
  • Review information for accuracy and identify discrepancies before information is provided to clients.
  • Maintain accurate records within CRM and other operating systems.
  • Support Account Managers in monitoring client service levels and deliverables.

Other Responsibilities

  • Participate in client and internal meetings as requested.
  • Document meeting notes, action items, and follow-ups.
  • Assist with special projects and process improvement initiatives.
  • Maintain confidentiality of member, client, and company information.
  • Perform other duties as assigned.


Requirements

Required

  • High school diploma or equivalent.
  • 2+ years of experience in customer service, account coordination, administration, healthcare benefits, insurance, or a related field.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency with Microsoft Office, particularly Excel and Outlook.

Preferred

  • Experience with employee benefits, health insurance, TPA, claims administration, or healthcare.
  • Experience working with CRM or benefits administration systems.
  • Experience supporting employer groups, brokers, or business clients.
  • Associate or bachelor's degree.
