Uliza Events is a growing identification solutions and event products company serving clients in Kenya and across Africa. We supply event and location wristbands and related identification solutions to events, hotels, malls, schools, swimming facilities, theme parks, corporates and other organizations.

We are looking for an experienced and highly organized Office Administration & Operations Coordinator to take ownership of the day-to-day coordination of our office and operational activities.

About the Role

The Office Administration & Operations Coordinator will be responsible for ensuring that the office, warehouse, customer service, logistics, printing and other operational functions run efficiently and according to company procedures.

The ideal candidate should be hands-on, disciplined, organized and able to lead people, follow up on tasks and ensure that work is completed without constant supervision.

This is not a purely administrative position. The successful candidate will be expected to coordinate people, monitor performance, solve operational issues and ensure execution of daily company activities.

Key Responsibilities

Office Administration

  • Coordinate the day-to-day running of the office.

  • Ensure the office is organized, professional and adequately supplied.

  • Manage office schedules, administrative records and documentation.

  • Coordinate communication between management and staff.

  • Monitor attendance, punctuality and general workplace discipline.

  • Ensure company procedures and administrative policies are followed.

  • Coordinate meetings, internal communications and administrative activities.

Operations Coordination

  • Coordinate daily activities across Customer Success, Sales, Printing, Logistics and Warehouse functions.

  • Follow up on pending operational tasks and ensure they are completed on time.

  • Identify operational bottlenecks and escalate issues to management promptly.

  • Ensure customer orders move smoothly from quotation and payment through production, packing and delivery.

  • Coordinate inter-departmental communication to prevent delays and errors.

  • Monitor operational deadlines and ensure staff remain productive.

Warehouse & Logistics Coordination

  • Coordinate with the warehouse and logistics team on stock movement, order preparation and dispatch.

  • Ensure stock transfers and dispatches are properly documented.

  • Follow up on deliveries and unresolved logistics issues.

  • Ensure operational records are properly maintained.

  • Work closely with the responsible staff to maintain accountability for company stock and equipment.

Staff Coordination & Supervision

  • Coordinate and follow up on staff activities and daily work schedules.

  • Ensure employees understand their assigned responsibilities and daily priorities.

  • Monitor completion of assigned tasks and reports.

  • Identify poor performance, lateness, absenteeism or failure to follow procedures and escalate appropriately.

  • Support management in implementing staff KPIs and performance reviews.

  • Encourage a productive and professional working environment.

International Operations Support

  • Coordinate with international operations and sales teams where required.

  • Follow up on international orders, stock transfers, documentation and delivery processes.

  • Ensure relevant international operational records are updated.

  • Escalate international operational issues that require management attention.

Reporting & Systems

  • Ensure operational records are accurately maintained.

  • Follow up on CRM, Google Sheets, forms and other company systems where applicable.

  • Prepare brief daily and weekly operational reports for management.

  • Track outstanding tasks and ensure they are followed through to completion.

  • Maintain proper documentation and filing systems.

Requirements

Candidate Requirements

  • Male candidate preferred/required for this position.

  • 2–5 years' experience in office administration, operations coordination, operations management, supervision or a related leadership role.

  • Demonstrated experience coordinating or supervising other employees.

  • Strong organizational and administrative skills.

  • Excellent follow-up and problem-solving abilities.

  • Ability to work independently and take ownership of responsibilities.

  • Strong communication and interpersonal skills.

  • Ability to manage multiple tasks and deadlines simultaneously.

  • Good computer skills, particularly Microsoft Office/Google Workspace.

  • Experience with CRM, ERP, inventory or business management systems will be an advantage.

  • Strong attention to detail and accuracy.

  • Ability to enforce procedures professionally and consistently.

  • A proactive and hands-on approach to work.

  • Ability to work under pressure during busy operational periods.

Leadership Qualities We Are Looking For

We are particularly interested in candidates who have previously:

  • Supervised a small team.

  • Coordinated daily operations.

  • Managed office or branch activities.

  • Taken responsibility for staff schedules and task allocation.

  • Followed up on sales, customer service, logistics or warehouse teams.

  • Implemented or enforced company procedures.

  • Prepared management reports.

  • Solved day-to-day operational problems without waiting for management to provide every solution.

We are looking for an individual who can take ownership, not someone who needs to be reminded about every task.

Benefits

Salary & Employment

Salary: KES 30,000 – 40,000 net per month, depending on experience, qualifications and demonstrated suitability for the role.

The successful candidate will initially be engaged on a probationary basis, with the specific contract terms communicated during the recruitment and offer process.
