Job Purpose
To provide high-level operational, administrative and supervisory support across the Assistive Technology and Occupational Therapy Teams within Adult Social Care. The role will ensure the effective coordination of administrative workflows, reporting, systems and service processes, while working closely with clinical leads, managers, internal teams and members of the public to support the delivery of high-quality statutory services.
Key Responsibilities
- Oversee the workflow, task allocation and day-to-day activities of administrative staff across both teams.
- Provide guidance, support and supervision to administrative staff, ensuring work is prioritised and completed effectively.
- Work closely with clinical leads and the Therapy Manager on operational priorities, team coordination and HR-related matters.
- Support recruitment processes, sickness monitoring, audits and other workforce-related activities.
- Manage two public-facing service inboxes, ensuring enquiries and correspondence are handled promptly and professionally.
- Support audits, file searches and Subject Access Requests (SARs) in collaboration with the Business Team.
- Arrange interpreters for home visits across North Northamptonshire.
- Organise training sessions, DSE assessments, feedback systems and other team activities.
- Produce a quarterly newsletter by coordinating and consolidating relevant service information.
- Use ERP and casework systems, Microsoft Excel and existing reporting tools to produce accurate reports, statistics and performance information.
- Cross-reference data and support KPI monitoring to ensure accurate and timely performance reporting.
- Assist with the Disability Facilities Grant (DFG) process, including ordering, finance tracking and housing adaptations administration.
- Develop process maps and workflows to support service efficiency and continuous improvement.
- Maintain effective working relationships with Customer Services, the Web Team and other internal stakeholders.
- Support the management of referrals, general enquiries and queries, ensuring a high standard of customer service.
- Assist with digital improvement initiatives and the implementation of improved administrative processes.
- Attend joint clinical home visits when required.
- Undertake general administrative duties to support the wider service.
Requirements
- Previous experience working in a busy administrative or business support environment; public sector, Adult Social Care or healthcare experience is desirable.
- Previous supervisory or team coordination experience, with the confidence to provide guidance and support to administrative staff.
- Excellent organisational skills, with the ability to prioritise and manage a varied workload in a fast-paced environment.
- Strong communication and interpersonal skills, with the ability to work confidently with members of the public, clinical professionals, managers and internal stakeholders.
- Strong Microsoft Office skills, particularly Microsoft Excel, with the ability to produce and interpret accurate data and reports.
- Ability to learn and confidently use new IT, ERP and casework systems.
- Experience of handling confidential information and working within appropriate information governance requirements.
- Ability to work independently, use initiative and proactively identify and resolve issues.
- Adaptable, approachable and reliable, with a confident and professional approach to supervision and service delivery.
- Ability to work collaboratively with clinical and operational teams.
- Strong attention to detail and commitment to delivering accurate, high-quality work.
- Willingness and ability to attend home visits and travel as required.
- Full UK driving licence and access to a vehicle is essential.
- Basic DBS check required.
Additional Information
- Location: Haylock House, Kettering, NN15 6EY
- Working Hours: 37 hours per week, with flexible start and finish times; 30-minute lunch break
- Payment: Bi-weekly
- Working Arrangement: Hybrid working following completion of onsite training; office attendance required as necessary
