Document Controler (Real Estate)

We are looking for a detail-oriented Document Controller to manage, organise, and maintain all
project documentation for ongoing residential real estate projects. The ideal candidate should
have experience handling drawings, approvals, contracts, reports, and site documentation with
strong control processes and version management.
Requirements
Key Responsibilities
Document Management & Control
• Maintain and manage all project-related documents including drawings, reports,
approvals, contracts, MOMs, RFI logs, QA/QC documents, billing support documents,
etc.
• Implement structured document control processes and ensure timely updates.
• Track document revisions and issue updated versions to internal teams and
stakeholders.
Drawing & Technical Documentation
• Maintain drawing registers and ensure updated drawings are circulated to site teams.
• Coordinate with architects, consultants, contractors for timely receipt of correct
drawings and revisions.
• Review documents for formatting and completeness before sharing.
Compliance & Approvals
• Maintain all statutory approval documents, correspondence, and compliance records.
• Track expiry, renewal, or requirement of documents related to authorities.
Coordination & Reporting
• Act as the central point of contact for all documentation flow.
• Prepare weekly documentation status reports and maintain dashboards if required.
• Support project managers, QA/QC teams, billing teams, and contractors for
documentation needs.
Digital Records & Systems
• Manage cloud/server-based document storage systems.
• Ensure proper naming conventions, versioning, and indexing.
• Support adoption of digital tools (DMS, project management systems).
Required Skills & Experience
• 3–7 years of experience as Document Controller in real estate, construction, PMC, or
project advisory firms.
• Strong understanding of construction documentation—drawings, RFIs, approvals,
BOQs, QA/QC records, contracts.
• Proficiency with MS Office, PDFs, shared drives, and document management systems.
• Excellent organisation, attention to detail, and deadline-oriented approach.
• Ability to coordinate with project teams, consultants, and contractors.
• Knowledge of real estate project lifecycle is an added advantage.
Education
• Graduate in any discipline.
• Diploma in Civil Engineering / Construction Management is preferred but not
mandatory.
